IntoLeads for Zoom

IntoLeads for Zoom helps your team automatically create Zoom meetings for leads as part of your workflow, attach the meeting invite, and process eligible meeting recordings for transcript and AI analysis.

1. What This Integration Does

  • Connects your Zoom account to IntoLeads.
  • Automatically creates Zoom meetings for lead workflows where a meeting is needed.
  • Sends the Zoom invite as part of the IntoLeads workflow.
  • Saves meeting details inside IntoLeads.
  • Receives Zoom recording webhooks for completed meetings.
  • Processes eligible audio_only recordings for transcription.
  • Generates AI-powered meeting insights inside IntoLeads.

2. Before You Start

  • You need an active IntoLeads account.
  • You need a Zoom account with permission to authorize apps.
  • You need an active Zoom subscription for this integration to work as intended.
  • If your Zoom account is managed by an organization, admin approval may be required.
  • For transcription and AI analysis to work, the meeting must be recorded using Zoom cloud recording.
  • The lead or host must enable the Record to the Cloud option in the Zoom meeting.

3. How To Add the App

  1. Sign in to IntoLeads.
  2. Go to your profile or connected apps section.
  3. Find the Zoom integration.
  4. Click Connect Zoom.
  5. You will be redirected to Zoom's authorization screen.
  6. Review the permissions requested by IntoLeads.
  7. Click Allow.
  8. After authorization, you will be redirected back to IntoLeads.
  9. IntoLeads will confirm that Zoom is connected successfully.

4. How To Use the App

IntoLeads does not currently require users to manually create Zoom meetings inside the app. Instead, after Zoom is connected:

  • A user performs the lead workflow inside IntoLeads that requires a meeting.
  • IntoLeads automatically creates the Zoom meeting in the connected Zoom account.
  • The Zoom invite and join details are included in the outgoing workflow or invite sent from IntoLeads.
  • The meeting is saved in IntoLeads and linked to the relevant lead.

5. Important Requirement for Transcript and AI Analysis

  • Transcript and AI analysis work only when the Zoom meeting is recorded to the cloud.
  • If the meeting is not recorded using Zoom cloud recording, IntoLeads will not receive the recording needed for transcription and analysis.
  • To use these features, the host should enable Record to the Cloud in Zoom before or during the meeting.

6. What Happens After the Meeting

  • IntoLeads stores the meeting details for tracking and visibility.
  • When Zoom sends a recording completion webhook, IntoLeads can save recording metadata.
  • Eligible audio_only recordings may be processed for transcription.
  • IntoLeads may generate AI meeting analysis from the transcript.

7. AI Analysis May Include

  • Summary.
  • Meeting outcome.
  • Sentiment score.
  • Key points.
  • Meeting flow.
  • Challenges.
  • Action items.
  • Next best action.

8. Viewing Meetings and Insights

  • Users can view their related Zoom meetings inside IntoLeads.
  • Admin users can view meetings across users where applicable.
  • Meeting transcripts and AI analysis may be available for processed meetings.

9. How To Remove the App

  1. Sign in to IntoLeads.
  2. Go to your connected apps or integrations section.
  3. Locate the Zoom integration.
  4. Click Disconnect Zoom.
  5. Confirm the action if prompted.
  6. IntoLeads will remove the stored Zoom connection for your account.

10. How To Remove the App From Zoom

  1. Sign in to your Zoom account.
  2. Go to the Zoom App Marketplace.
  3. Open Manage and view your installed apps.
  4. Find the IntoLeads app.
  5. Click Remove.

11. What Happens When the App Is Removed

  • IntoLeads will no longer be able to automatically create Zoom meetings using that Zoom account.
  • New recording processing for that connection will stop.
  • Existing meeting and analysis records already saved in IntoLeads may remain unless separately deleted by your organization.

12. Permissions Explanation

The app requests Zoom access only for the features needed to support automatic meeting creation, meeting association, recording processing, and related workflow functionality in IntoLeads.

13. Troubleshooting

Meetings are not being created

  • Make sure Zoom is still connected in IntoLeads.
  • Reconnect Zoom if the authorization has expired or been revoked.
  • Confirm your Zoom account is still allowed to use marketplace apps.
  • Confirm the connected Zoom account has the required subscription and meeting permissions.

Recordings are not processed

  • Confirm cloud recording is enabled in Zoom.
  • Confirm the meeting was recorded.
  • Confirm the host used the Record to the Cloud option.
  • Confirm Zoom webhook delivery is active.
  • Confirm the recording contains an eligible audio_only file.
